Getting started
Choose where to start and set up your workspace.
What does 4Auditee bring together?
Manage audits, risks, documents, problems and corrective actions, training, and skills in one place. AI can help with writing and review. You can also share selected records with external reviewers and manage visitors.
Where should we start when evaluating the platform?
Choose a real task, such as an audit, document update or course assignment. Bring an example to the demo so you can see how it works for your team.
What should we prepare for a product demo?
Bring a typical record or process, the standards or procedures you use, and the main problems you want to solve.
How do we request a workspace?
Ready to get started? Use the Request a workspace link to apply for your company’s workspace. Our team reviews your request and contacts you about setup. If you want to see the product first, book a demo.
Can the platform replace our team's quality decisions?
No. The software helps organise records and reviews. Your team remains responsible for decisions, evidence and how the work is done.
Audits & checklists
Planning, requirements, evidence and reporting.
What is an audit programme?
An audit programme is a plan for several audits over time. Each audit has its own dates, team, requirements and results. You can review the overall plan and the details of each audit.
Can AI make the audit decision?
AI can help prepare schedules, explain requirements and write notes. Auditors must check the evidence, record findings and decide the conclusion.
Does using 4Auditee certify our company?
No. The software helps organise audit records and reviews. Certification depends on your management system, evidence and the required assessment process.
Can we organise audits across different sites?
Yes. Plan audits for different companies and sites. For each audit, choose the site, team and standard version, and explain what you want to check.
How do checklists relate to standards?
Each audit uses a selected standard version and its requirements. Check that the version and audit coverage are correct before recording evidence.
Which audit report formats are available?
Download reports in PDF, Word or Excel. Review the findings and conclusion before sharing the report.
Risk assessment
Risk records, scores, measures and reviews.
What are inherent and residual risk?
Inherent risk is the risk before measures to reduce it are considered. Residual risk is the risk that remains after those measures. Explain both scores so reviewers can understand the difference.
Does the risk matrix show the full assessment?
No. The matrix is a chart of likelihood and impact. Open the risk record to read the explanation, measures and review details before deciding what to do.
How do we decide whether to accept a risk?
Use your company’s rules and approval process. The software records the decision and reviews. The responsible people decide whether the remaining risk is acceptable.
What information can we keep in a risk record?
Record what could happen, its possible causes and effects, your scores and reasons, measures to reduce the risk, and review details.
Can we record measures to reduce risks?
Yes. Record the measures used to manage a risk, their progress and how well they work. Use this information when deciding whether more action is needed.
How do we keep assessments up to date?
Set review dates. Update the assessment when the situation, evidence or measures change. Explain why the scores or decisions changed.
Documents & approvals
Writing, versions, approvals and sharing.
How is document control different from file storage?
File storage keeps files available. Document control also manages versions, reviews, approvals and sharing. It helps people know which document to use and whether it has been approved.
How can AI help with documents?
AI can draft text, improve wording and suggest gaps to check. Your authors and reviewers check the result against actual procedures and requirements before approval.
Does confirming that someone read a document prove they can do the work?
No. It records their reading confirmation. Use training records and practical skill assessments to check what a person understands and can do.
Can we create documents in the platform as well as upload files?
Yes. Write documents in the editor or upload existing files. Supported editing tools also include diagrams.
How do we keep track of document changes?
Keep versions in the same document record. Compare versions and read the change history when reviewing an update.
Can we follow up with people who need to read an updated procedure?
Yes. Share the document and track reading confirmations. Use these records to follow up with people who need to read the update.
Problems & corrective actions
Record problems, investigate causes and check actions.
What is the difference between a correction and a corrective action?
A correction fixes the problem found. A corrective action addresses its cause to stop it happening again. Record both when needed and explain how the investigation supports your actions.
Can AI find the root cause?
AI can suggest or help describe a possible cause. Your team must investigate and confirm it with evidence. An AI suggestion does not prove why the problem happened.
When can we close a corrective action?
Follow your review process to check that the action was completed and worked. Record the supporting evidence and reason for closing it.
Can we record issues found outside an audit?
Yes. Create a finding for a problem found in other work. Problems found during an audit can be recorded from that audit.
What should a useful finding description include?
Explain what happened, where it was found and what evidence supports it. Keep observations separate from possible causes that still need investigation.
Can AI use files to help describe a problem?
Yes. AI can help draft a problem description and suggest possible causes from supported files. Check the draft against the originals and investigate the cause.
Training & presentations
Course creation, slide editing and learner completion.
Can we edit AI-generated presentations?
Yes. Use the editing toolbar and course assistant to change the slides. Check the final presentation before publishing.
Can we use the presentation in PowerPoint?
Yes. Export an editable PowerPoint presentation. Check the exported slides before presenting, especially slides with complex layouts.
Does completing a course prove that someone can do the work?
No. Course completion and quiz results are part of the evidence. You may also need practical observation, experience or other checks required for the role.
Can we add quizzes or knowledge checks to a course?
Yes. Add questions to check understanding. Review the wording and correct answers before publishing, including any questions drafted by AI.
How do we assign training and follow completion?
Publish a reviewed course, assign it to learners and track completion. Follow up with people who have not finished.
What can we change in the slide editor?
Use the toolbar to format text, add content and arrange objects. Ask the course assistant to help revise content, then check the updated slides.
Skills & qualifications
Role requirements, person records and renewals.
What is a competency matrix?
It is a table of people and required skills. It helps you see where training or review is needed. Open each person’s records to check the evidence behind an entry.
How are training and competence different?
Training helps a person learn. Competence means being able to use the required knowledge and skills at work. Completing training can support an assessment, but it is only part of the evidence.
Can the software decide whether someone has the skills for a role?
No. The records and table help your reviewers assess people. The responsible assessor must check the evidence against the role’s requirements.
Can we define the skills needed for each role?
Yes. Define the knowledge, skills and qualifications needed for each role. Use clear requirements so reviewers assess people on the same basis.
Where can we check someone’s skills and qualifications?
Open the person’s records to check the supporting evidence. The skills table gives an overview; the individual records explain the assessment.
Can we keep track of renewals and review needs?
Yes. Use skill and qualification records to track renewals and review needs. Your company decides which records need renewal or regular checks.
AI assistance
Drafting, explanations, review and course creation.
Where can we use AI in 4Auditee?
AI can help with audit preparation and notes, document drafting and review, findings and corrective actions, and course creation and editing. Available tools depend on workspace settings and access.
Does AI approve documents or publish courses for us?
No. AI helps draft and edit content. Your team reviews it and uses the approval or publishing process to decide what is ready.
Can we use AI text as evidence without checking it?
No. Check statements against the original records, procedures or sources. AI can help organise and describe information. It does not prove that something happened or that an action worked.
Can AI help an auditor prepare interview questions?
Yes. AI can explain requirements, suggest checks and draft questions. Review them against what the audit covers and the evidence you need.
What does an AI document review look for?
It can suggest unclear instructions, unclear responsibilities, missing records or gaps against requirements. Your reviewer checks the suggestions and decides what to change.
Why might an AI tool be unavailable in my workspace?
Available tools depend on workspace settings, your access and the task. Ask your workspace administrator to check these if a tool you need is unavailable.
Access & collaboration
Who can see your records and how to share them.
Where do team members sign in?
Use your company’s workspace sign-in page. The Workspace link on the public website helps you find it.
Do all users have the same access?
No. Access depends on each person’s roles and assigned parts of the company. Administrators decide which records people can see and work on.
Can we share information with people outside our workspace?
Yes. Users with permission can share selected records through the auditor portal or document links. Check the content and access settings before sharing.
Does sharing a document give someone access to the whole workspace?
No. A shared document or portal link only gives access to the selected content allowed by its settings. It does not create a workspace user account.
Where can we find information about privacy?
Read the Privacy page. Contact the team if you have specific requirements for handling data or need to review contract terms.
Visitor management
Site registration, hosts and sign-out.
Can visitors register from their phone?
Yes. Visitors can scan a site’s QR code to open the registration page on their phone. They do not need a workspace account.
Which details can a visitor provide?
The form can collect details such as name, company, host and reason for the visit. Check the required fields when setting up a site.
How do visitors sign out?
Visitors can use the sign-out action or their visit sign-out link. The visit record updates so your team can see who has signed out and who is still registered on site.
Does visitor registration approve someone to work on site?
No. Registration only records the visit. Check any required training, skills or permission to perform work through your company’s usual process.
